How to Create a GST Invoice as a Fitness Trainer in India

If you are registered for GST, every coaching fee you collect needs a proper tax invoice. A WhatsApp message with a UPI screenshot is not one. This guide covers what goes on the invoice and a routine that keeps it painless.
This guide is general information, not tax or legal advice. GST rules, rates and limits change, so confirm the current position with a chartered accountant or on the official GST portal before you act on it.
What a GST tax invoice normally contains
- Your name or business name, address and GSTIN.
- A unique invoice number and the invoice date.
- Your client's name and address (and their GSTIN if they are a business).
- A description of the service, such as "Online coaching, monthly plan".
- The service accounting code (SAC) for the service. Ask your CA which code applies to your kind of coaching.
- The taxable value, the tax rate, and the tax amount.
- Place of supply, which decides how the tax is split.
CGST, SGST and IGST in plain words
When you and your client are in the same state, the GST is split into two equal parts: CGST (to the Centre) and SGST (to your state). When your client is in another state, a single IGST line is charged instead. The total tax is the same either way; only the split on the invoice changes.
A simple invoicing routine
- Invoice on the same day each month, for example the day a client's plan renews.
- Number invoices in one running series so none are missing or repeated.
- Put your UPI ID on the invoice so the client can pay you directly.
- Mark each invoice paid when the money lands in your account.
- At month end, export all invoices in one list for your accountant.
Mistakes that cause trouble later
- Skipping invoice numbers or reusing them.
- Charging GST without being registered, or failing to register when required.
- Keeping invoices only in chat, where they are hard to find at filing time.
TrainLabs creates the invoice in a few taps, shows the CGST and SGST split if you are GST-registered, puts your own UPI ID on it, and lets you export every invoice with its paid status as a spreadsheet. It does not take payments for you: your client pays you directly.
