How to Move Your Coaching Clients from WhatsApp and Excel to One App

Running coaching from WhatsApp, Google Sheets and a PDF invoice template works until you have more than a handful of clients. Then the cracks show: lost messages, outdated programs, missed renewals. Moving to one system is easier than it sounds if you do it in stages.
Step 1: List what you track today
- Client details and goals.
- Current program and nutrition plan.
- Check-ins, measurements and photos.
- Invoices and who has paid.
Step 2: Start with new clients
The least disruptive move is to onboard every new client in the new system from day one. Existing clients stay where they are for now, so nobody's routine breaks.
Step 3: Migrate existing clients in small batches
Pick a handful of clients each week, at a natural moment like a renewal or a new program block. Send them an invite link and a short message explaining why: one place for their plan, chat and progress.
Step 4: Tell clients what changes
Keep the message simple: where to find the workout, where to message you, and where to log check-ins. Clients mostly care that it is easy and free for them.
Step 5: Retire the old tools
Once a client is moved, stop sending plans by WhatsApp. Keep the old spreadsheet read-only for a month in case you need to look something up, then archive it.
